The ALPS Foundation ("we," "us," or "our"), headquartered at Rue du Beulet 11, 1203 Geneva, Switzerland, organizes the ALPS Summer School 2025. We are committed to protecting your personal data in compliance with the Swiss Federal Act on Data Protection (FADP) and, where applicable, the EU General Data Protection Regulation (GDPR).

We collect the following personal data via Google Forms:

• Contact & Identification: Email address, first name, last name, phone number, date of birth, gender, nationality, academic degree, current occupation.

• Address: Street name and house number, ZIP code, city, country.

• Application Materials: CV, letter of motivation.

• Logistical Preferences: Dorm preference, estimated arrival time, means of transport, whether you will bring a research poster.

• Sensitive Data: Dietary restrictions/food allergies, special requirements (e.g., accessibility).

• Other: How you learned about the Summer School, additional comments.

2. Purpose of Processing

Your data is used to:

• Process your application and administer participation in the Summer School.

• Communicate event details (schedule, logistics).

• Accommodate dietary, medical, or accessibility needs.

• Plan for research poster presentations (if applicable).

• Fulfill legal or administrative obligations (e.g., record-keeping).

3. Legal Basis

• Contractual Necessity: To fulfill your participation in the Summer School.

• Explicit Consent: For sensitive data (e.g., dietary restrictions, health requirements).

• Legal Obligations: Retention of data for 5 years under Swiss law.

4. Data Retention

We retain your data for 5 years from the date of collection to comply with legal, administrative, or archival requirements. After this period, data will be securely deleted.

5. Data Sharing & Transfers

Third Parties:

• Data is stored via Google Forms/Google Workspace (service provider). Google may process data outside Switzerland (e.g., in the U.S.). Transfers are safeguarded by Google’s adherence to Standard Contractual Clauses (SCCs) and compliance with Swiss/EU data protection standards.

No Other Sharing: We do not share your data with external partners or caterers.

6. Security Measures

We implement technical and organizational safeguards, including:

• Restricted access to data (authorized personnel only).

• Encryption of digital files and communications.

• Secure storage on password-protected Google Workspace accounts.

7. Your Rights

Under Swiss FADP, you have the right to:

• Access, correct, or delete your personal data.

• Withdraw consent (where applicable).

• Object to processing or request data portability.
